enaio® service-manager

'dms' Service

The 'dms' service is installed in version 6.0. This version is not backwards compatible. If the service is used in projects, then adjustments are necessary.

What have been extended are endpoints that are related to catalogs. The multilingualism of the list catalogs, tree catalogs, and hierarchy catalogs is thus supported.

'extraction' Service

The 'extraction' microservice can be extended via Plug-Ins in order to extract metadata from additional file formats.

New Microservices

'users' Service

The 'users' service is new but currently not actively integrated. The service is used for users, user groups, and user-specific configurations, such as system roles and hit list configurations, making it one of the components within the scope of the replacing enaio® appconnector.

'data-transfer' Service

The service 'data-transfer' is also new and is used for the new enaio® template-editor and the enaio® data-transfer-ng add-in. This removes the need for configuring the service.

Management Endpoints

In addition to securing access to the services via IP filters, access to management endpoints can also be secured.

The configuration is done in the same way via the management.trusted.ipPattern parameter in the application-prod.yml file.

The default setting allows access from all IP addresses that are able to access the services.

New System Role for enaio® client

Client: Copy across cabinets system role: Previously, users with the system role Move across cabinets in enaio® client could also copy objects across cabinets. The new system role separates these two functions.

With the update, all users who have the Move across cabinets system role are automatically assigned the system roles.

New System Role for enaio® webclient

New system roles have been introduced for enaio® webclient. Previous configurations of the corresponding functions will become inactive and be replaced by system roles via osweb-prod.yml with Service Release 1 for enaio® webclient.

These system roles are automatically assigned to all users with the system role Webclient: Start.

User Administration in enaio® webclient

Users are assigned the system roles specified in the osrest.web.systemroles.properties configuration file from the <AppConnectorInstallDir>\configuration directory via user management in enaio® webclient. This configuration file is not updated when enaio® appconnector is updated.

You can get a current version of the configuration file through a download.

Multilingual Catalogs

List catalogs, tree catalogs, and hierarchy catalogs can be created as multilingual catalogs.

In addition to a technical value, language-specific display values can be assigned to the catalog entries for all included languages. The language-specific display values are shown to users in enaio® client and in enaio® webclient depending on the language settings.

Selecting multiple entries is not possible for multilingual catalogs.

Existing list catalogs, tree catalogs and hierarchy catalogs can be converted into multilingual catalogs. Existing values are retained as technical values. The language-specific display values are then added.

Saved searches that refer to multilingual catalogs can be distributed, but they cannot edited in other languages. They show the language-specific display value for the user.

Searches in expert mode also show the language-specific display values when configuring the required technical values.

When creating clauses for access rights, the technical values are used; the language-specific display values can be shown for informational purposes.

The technical values are also used in technical contexts, for example, for import and in scripts.

In the case of multilingual catalogs, the COM method 'GetCatalogItemInfo' determines the language-specific entries.

In the workflow, support for multilingual catalogs will follow only with a subsequent version.

WWW Add-on

The WWW add-on can transfer phone numbers entered in the index data field to a telephone system. To do this, enter the following into the add-on’s configuration field: EXTRA00=tel:

enaio® webclient does not support the WWW add-on.

Structure Tree Catalog

Any Unicode characters can be used for structure tree catalogs in Unicode installations. ANSI structure tree files can be used in Unicode installations.

enaio® capture

enaio® capture-to-classify

enaio® capture has been extended by the subprogram enaio® capture-to-classify. enaio® capture-to-classify makes data for further processing available in enaio® classify.

enaio® capture-to-classify replaces the previous project-specific solution axCaptureExport.exe.

enaio® administrator

Clauses for Access Rights

For access clauses for documents, the properties 'archived', 'approved for archiving', 'not approved for archiving', and 'checked out' can be used.

Information about the object type can be shown in the clause editor. For multilingual catalogs, the technical and language-specific values are shown.

Printing Access Rights

When printing access rights from enaio® administrator, you can select whether clauses are printed with the database names, the internal names, or the display names.

Automatic Actions

Dearchiving/Media Dearchiving Actions

The actions have been given an option to create additional and detailed reports.

'History Maintenance' Action

The 'Version created' option has been extended. In addition to the history entries for creating versions, document versions will now also deleted. The entry 'Version deleted' will be added to the history. Archived versions will only be deleted from the cache.

Integration of Entra ID (beta)

You now have the option of integrating Entra ID (formerly Azure AD) into enaio® to transfer user and group information.

Subscriptions/Follow-ups

The date range for subscriptions and follow-ups previously up to 18 January 2038 at the latest – has been extended to 31 December 3000.

Existing scripts only need to be adapted if the extended date range is used.

enaio® enterprise-manager

Windows supports the use of the User Principal Name (UPN) when logging in via Kerberos. For use in enaio® client, a setting can be made in enaio® enterprise-manager as to whether the user name in enaio® is optionally specified as SAM account name (SAM) or as UPN when logging in.

enaio® mail-archive-service

enaio® mail-archive-service has been updated to version 2. The range of functions has been extended to include mailbox-based mail archiving. The mailboxes for archiving are selected for each configuration. These can be user mailboxes and/or shared mailboxes and/or group mailboxes. enaio® mail-archive-service checks these mailboxes and transfers the e-mails they contain to enaio®. A white and black list can be used to specify more precisely from which folders the e-mails are taken.

The services have to be reconfigured.

enaio® data-transfer-ng (beta)

enaio® data-transfer-ng (beta) is a new add-in for Microsoft Word. The add-in includes enaio® template-editor and the function used to transfer index data in documents with controls created using enaio® template-editor.

The 'CDE' license is required at the workstation. The license is managed via the 'license' service. The 'data-transfer' service must be installed. enaio® template-editor must be activated at the workstation via the registry editor.

enaio® webclient: Dashlet API

A communication library is now available for embedding dashlets, which simplifies connecting enaio® webclient and a dashlet. The communication library also enables compatibility with enaio® client, which in turn helps cut development costs.

The dashlet API documentation has been extended. Existing dashlet integrations do not need to be changed. The communication library can also be integrated into enaio® version 10.10.

Scripting

'BeforeOpen' Event

The handoff file of the 'BeforeOpen' event contains the new parameter 'OPENFROMCOPY'. The value '1' indicates that, for the moment, a document was created using the 'Create copy' function. This can be used, for example, to prevent the file from being displayed when creating a copy.

'OpenBrowser' COM Method

The new 'OpenBrowser' method opens a browser window in enaio® client’s workspace. This allows web applications or functions that are independent of marked objects and cannot be easily integrated via dashlets to be integrated into enaio® client.

The following methods were also added for this purpose: CloseBrowser, ExistBrowser, SetBrowserURL

'PrintDocumentID' COM Method

Until now, only image documents could be printed using this method. Printing W-Documents was explicitly prevented. Using this method, printing W-Documents is now possible.

enaio® import-export

The 'Mentana' signature module can be connected in Unicode systems for signing imported documents via SSL.

enaio® documentviewer

High Efficiency Image Container

Images in HEIC format can be processed by enaio® documentviewer. Text recognition for this format is not supported.

Determining the Cache Size

enaio® documentviewer can be set so that it uses the size and free storage space of the underlying hard drive to calculate the cache size instead using the cache itself. This enables enaio® documentviewer to be more responsive, especially for large and rapidly changing caches.

enaio® Outlook Add-In NG

Users can optionally have the location opened via enaio® Outlook Add-In NG when attaching an e-mail. Administrators can predefine how the location is opened or disable this option.

The configuration is done via the ems-prod.yml file of enaio® service-manager.
